Article Versions, Review, and Publishing

Article versioning preserves content history while allowing Knowledge Base information to evolve safely.

Draft versions

Changes should normally begin as a draft version.

A draft can be reviewed without immediately changing the currently published information.

Review

Review verifies that the article is accurate, complete, appropriate for its audience, and consistent with current product or business behavior.

Approval

Where approval is required, an approved version becomes eligible for publication according to the configured governance process.

Publication

Publishing makes the approved version the active published version.

Previously published versions should remain part of the version history rather than being silently overwritten.

Restoring content

When an earlier version contains the correct information, use the supported restore or version workflow instead of manually reconstructing history.

Good practices

Include meaningful version notes where available. Review changes carefully when they affect procedures, security guidance, customer commitments, or public URLs.
